How to organize Google Ads accounts without losing project context
An account list solves only part of the problem. To find the right asset and understand who can act, you also need its purpose, responsible people and dependencies. This guide proposes a simple inventory for a brand running several projects or a team working with different clients.
Record enough to explain the operation
Start with the accounts in use and assign someone to verify each one. Record only the information needed for the work. The inventory should help locate an account and direct a question; it should not become a repository for passwords, codes, documents or payment details.
| Suggested field | Why record it |
|---|---|
| Identifier and project | Distinguish accounts with similar names |
| Purpose | Understand the intended use |
| Responsible person | Know who can confirm a decision |
| Access and dependencies | Identify what needs review |
| Last review | Separate current information from pending checks |
Use names your team understands
Our suggested naming pattern is project, purpose and market, including only elements useful to the operation. Fictional example: “Example Brand · Search · United States”. Choose a readable pattern and record the account identifier alongside the name.
Google offers account labels to organize groups in a manager account. They can complement the inventory; a label is an organizational tool, not evidence of authorization or account status.
Separate operations, approvals and follow-up
For each project, agree who operates campaigns, who confirms changes and who follows up on billing or measurement questions. This is a suggested division of work, not a set of technical platform roles. Then compare the tasks with the access actually available.
If information has not yet been checked, mark it as pending and assign a responsible person. A blank field or a name copied from an old proposal should not be treated as current confirmation.
Review dependencies before ending a link
Google explains that unlinking a manager account can affect shared audience resources, conversion tracking and certain billing arrangements. Before changing the relationship, identify the applicable dependencies and consult the person responsible for each one.
Turn the inventory into a useful routine
Fictional example: a project moves to a different team. The review needs to identify the new responsible person, the access that remains necessary and any unverified details. Completing a spreadsheet is different from completing the change in the platform.
Choose a review frequency that matches how often the operation changes, and repeat the check when someone joins or leaves a project. When asking CHAMPX about additional assets, use the map to explain exactly what is missing instead of requesting a package without a defined purpose.
